Registrar Services

The Registrar's Office oversees student academic records, course scheduling and registration, transcript orders, awarding degrees, enrollment verifications, FERPA, and much more. See below for more details. 

Transcripts

CIA's Registrar's Office maintains student grade records and transcripts as required by law. Transcripts are processed through our third party ordering system, Parchment. Orders will be processed within 2-4 business days. For records before 2005, orders may have a longer processing time.

Replacement Diplomas

Order a Replacement Diploma

Requests for replacement diplomas are requested through our third party ordering system Parchment Exchange. Replacement Diplomas are $50. Orders will be processed typically within 3-4 business days. For records before 2005, orders may have a longer processing time. 


Veteran Affairs Education Benefits

Students who are eligible for VA education benefits need to provide the Certification of Eligibility (COE) to the Registrar's Office either in person (Suite 120) or to registrar@cia.edu. Refer to https://www.va.gov/education/ for eligibility requirements, benefit information, and instructions on how to apply for education benefits. If eligible, students must submit the Certificate of Eligibility letter to the School Certifying Official at registrar@cia.edu. The School Certifying Official will then submit enrollment certifications to the VA each semester the student is enrolled. This informs the VA who should receive benefits and the credits enrolled. From there, the VA can distribute funds.

Students who qualify for the Post 9/11 GI Bill (Chapter 33) will have the VA funds sent directly to CIA. Some Chapter 33 students will also qualify for Yellow Ribbon benefits. There is a yearly maximum set for Chapter 33 benefit amounts. For students who qualify for Yellow Ribbon, if the maximum Ch 33 amount is met, then Yellow Ribbon is calculated. Yellow Ribbon benefits are provided 50% through the school and 50% through the VA.

Students who qualify for Survivors' and Dependents' Education Assistance (Chapter 35) will have the VA funds sent directly to them monthly and should discuss payment options with Student Accounts (studentaccounts@cia.edu). The funds for Ch 35 are intended for tuition and fees and will be listed as a preliminary item on the Student Account Statement. No Ch 35 funds go directly to CIA.

Transfer Credit and Articulation

See the College Catalog for full details on transfer credit policies. The Admissions Office oversees the transfer credit evaluation for incoming students during the admissions process. For current students seeking to take courses in transfer, the Registrar's Office has a Transient Student Form students completed for credit evaluation review. Transfer credit requires a letter grade of "C" or higher and must be from a regionally accredited college level institution. 

Articulation Agreements

See https://www.cia.edu/application-requirements/ for CIA's articulation agreements with Cuyahoga Community College, Davis College, and Lakeland Community College. 

Advanced Placement (AP Scores)

CIA also accepts credit for Advanced Placement examinations based on a minimum score requirement. For Liberal Arts transfer equivalencies, a minimum score of 3 is required for consideration. For Studio transfer credit, a minimum score of 4 is required for consideration. Scores must be sent directly from College Board to CIA. Scores should be sent prior to the student's first semester so that any credit awarded can be evaluated prior to student registration. 

Enrollment + Degree Verification

The Registrar’s Office is responsible for certification of enrollment, verification of degrees conferred, and diploma reprints.

Enrollment certifications include enrollment status (e.g., full-time or part-time), terms attended, and anticipated dates of graduation. Grades or other evaluative information is not part of an enrollment certification. Students requiring enrollment certifications for medical or insurance purposes, loan deferments, or employment, should contact the Registrar’s Office. Enrollment certification takes two to three days for processing from the time the request is received. There is no charge for enrollment certifications

Since graduation dates and degrees are public record, and therefore not subject to FERPA, such information may be released to employers and other external parties. Degree verification may include the degree received, date conferred, and major. Information on courses taken and grades are not a part of degree verification. Evaluative information on a student’s performance (e.g., grades or GPA) can be released to a third party only with written permission from the student.

Requests for degree verification should include as much information about the student as possible including their complete name (or former name), date of birth, graduation year, and degree received. Requests for verification of degrees should be directed to the Registrar’s Office. There is no charge for verification of degrees.

Cross Registration

Cross-registration is a program that allows students to study at another institution to supplement their CIA education.

Full-time students in good academic standing may take one course during the fall or spring semester at any of the participating colleges listed below without paying additional tuition.
