On March 13, 2020, the Office of Financial Aid sent an email regarding Federal Work-Study (FWS) because of COVID-19 to FWS supervisors and to students who are employed this semester through the FWS program.

In response to CIA’s suspension of on-campus classes, the Office of Financial Aid has compiled a list of frequently asked questions regarding FWS students who are not able to continue working on campus.

Should supervisors turn in FWS timesheets for students who are not working because of the pandemic?

April 15, 2020: Supervisors who have not yet submitted the original time sheets for students who worked in March 2020 should mail the original to CIA to the attention of Caprice Odom or place them in the Office of Financial Aid mailbox if you come to campus. While CIA classes on campus are suspended, the Office of Financial Aid will process FWS time sheets to pay current FWS students who are not working because of the pandemic. Supervisors will not be required to turn in time sheets for FWS students who are not working while on-campus classes are suspended.

Should supervisors submit future FWS time sheets for students who are tutoring remotely due to the pandemic?

April 15, 2020: Yes. Please ensure that the tutors who are working remotely submit their time sheets to the appropriate FWS supervisor for review and approval. Afterwards, please sign and email the time sheets to Submit the original time sheets by U.S. Mail to the Office of Financial Aid.

Will FWS students be paid while on-campus classes are suspended?

April 15, 2020: FWS students who were employed as of 3/13/2020, and who worked FWS jobs during the Spring 2020 semester and are now unable to work because of the pandemic, will continue to be paid monthly while on-campus classes are suspended.

The COVID-19 pay scale has been revised as follows: Only FWS recipients employed as of 3/13/202 will receive payment, and it will be based on an average of the scheduled hours they worked during the 2020 spring semester before on-campus classes were suspended provided they would have continued to work.

When will FWS students be paid?

April 15, 2020: FWS students will be paid on the 15th of each month as usual.

Are off-campus employers required to continue to meet the institutional wage share requirement for the FWS program?

April 15, 2020: Yes. 

Will supervisors receive notification of monthly payout amounts to maintain accurate budget records?

April 15, 2020: Yes, a shared database will be created and made available to FWS supervisors.

When is the anticipated last pay date for current FWS students? 

April 15, 2020: The last pay date for the 2019-20 academic year will be May 15. Students will not receive a full month's pay in May, since the last date of the spring semester is May 9.
