    ID Cards

    Cleveland Institute of Art ID cards are issued through the Case Western Reserve University Access Services Department located in Crawford Hall. The first ID card is issued free-of-charge. Replacement IDs will carry a $25 fee each time the card must be replaced. For a replacement ID, students are required to obtain a yellow ID permit card from the Institute’s Registrar’s Office which must be presented to CWRU Access Services along with the $25 fee. Question regarding ID cards may be directed to the Registrar’s Office. 

    Students withdrawing from the Institute are required to turn in their ID card to the Registrar's Office at the time of withdrawal.

    Authorization for Release of Student Information (FERPA)

    Under the Family Educational Rights and Privacy Act of 1974 (FERPA), The Cleveland Institute of Art may not disclose information from a student’s educational records without the written consent of the student. However, under the following exceptions as defined by FERPA, the Institute may disclose educational records without student consent when the disclosure is:

    • To school officials who have a legitimate educational interest in the records.
    • To officials of another school, upon request, in which a student seeks or intends to enroll.
    • To certain officials of the U.S. Department of Education, the Comptroller General, and state and local educational authorities, in connection with audit or evaluation of certain state or federally supported education programs.
    • In connection with a student’s request for, or receipt of, financial aid to determine eligibility, amount, or conditions of the financial aid, or to enforce the terms and conditions of the aid.
    • To state and local officials or authorities if specifically required by a state law that was adopted prior to November 19, 1974.
    • To organizations conducting certain studies for, or on behalf of, the Institute.
    • To accrediting organizations to carry out their functions.
    • To parents of an eligible student who is claimed as dependent for income tax purposes. In addition, information regarding student abuse of alcohol or drugs not prescribed by a physician that violates the law or the Institute’s rules or policies may be reported to the parents of students under the age of 21. Information needed to protect the health or safety of the student or other individuals in an emergency may be reported to parents.
    • To comply with a judicial order or a lawfully issued subpoena.
    • To appropriate parties in a health or safety emergency.
    • To individuals requesting directory information so designated by the Institute.
    • The results of any disciplinary proceeding conducted by the Institute against an alleged perpetrator of a crime of violence to the alleged victim of that crime.


    All registered students must complete The Authorization for Release of Student Information Form at the start of each academic year of enrollment. This form allows the Institute to track the names of individuals to whom the student allows release of their educational information including parents who claim the student as their dependent for tax purposes The Institute will not release any educational information not designated as directory information to any parties outside of the Institute (with the exceptions as outlined above) unless specifically designated by the student on the Authorization for Release of Student Information Form. The student must update this information every academic year of enrollment.

     

    CIA Students Cross-Registering at Other Institutions:

    Cleveland Institute of Art students who are enrolled full-time and who are in good academic standing may take one course per semester during the academic year at any of the following colleges and universities:

    Case Western Reserve University
    Cleveland Institute of Music
    Cleveland State University
    Cuyahoga Community College
    John Carroll University  

     Cross-registration is usually limited to upperclassmen. Exceptions may be made in the cases of transfer foundation students who may have room in their schedules due to transfer credits received. Cross-registration is limited to subjects not offered at the Institute. Admission at the host institution is granted on a space-available basis. The cross-registered course is considered as part of the student’s full-time enrollment. Additional tuition is not charged unless total credit hours exceed 18. Lab fees or other fees may be charged by the host institution. Except for Biomedical Art majors, credits for cross-registered courses are treated as transfer credits. Grades of C or better must be achieved in order for the credits to transfer back to CIA. The grade for a cross-registered course does not affect the student’s GPA at CIA. To cross-register, students must first receive approval from the CIA Registrar’s Office (McCullough Center, Room 120). Current course schedules from member institutions may be found online via the host institution's website.

    Students From Other Institutions at CIA

    Full-time students from participating schools listed above who are in good academic standing are eligible to cross-register for one course per semester at The Cleveland Institute of Art on a space-available basis.  Cross registration for studio courses require the approval from the CIA Admissions Office in addition to the home school's approval.

    Cross-registrations are processed through the CIA Registrar’s Office (McCullough Center, Room 120) and are accepted no earlier than the week prior to the start of classes.

    All students cross-registering to CIA from other institutions must have an approved cross-registration form, in addition to any other requirements mentioned above, before the cross-registration is accepted. All studio courses carry a lab fee which the cross-registrant is required to pay at the time of registration.

    The Cleveland Institute of Art Grading System

    CIA uses a dual grading system, allowing instructors to separately evaluate a student’s accomplishment and effort.

    To compute a grade point average (GPA), each grade (in points) is multiplied by the number of semester hours that it represents; total points are then divided by total semester hours. Grades of “incomplete” must be made up for a letter grade by the end of the fourth week of the following semester in order to avoid failure of the course. Students wishing to change a course to audit status must do so by the end of the eighth week of the semester. An audited course carries the same tuition charge as a course taken for credit.

    Certification of Enrollment and Verification of Degrees

    The Registrar’s Office is responsible for certification of enrollment and verification of degrees conferred.

    Certification of Enrollment

    Enrollment certifications include information such as enrollment status (full-time, part-time, etc.), terms attended, and anticipated dates of graduation. Grade or other evaluative information is not part of an enrollment certification. Students requiring enrollment certifications for such purposes as medical or car insurance, loan deferments, employment, etc. should contact the Registrar’s Office by mail, phone (216.421.7321), fax (216.754.3385), email (registrar@cia.edu), or in person. Enrollment certifications take two to three days for processing from the time the request is received. There is no charge for enrollment certifications.

    Verification of Degrees

    Verification of degrees is done through the Registrar’s Office. Because graduation dates and degrees are part of public record and not subject to FERPA, such information may be released to employers and other parties outside of CIA. Information confirmed in a degree verification includes: degree received, date conferred, and major. Information on courses taken and grades received are never part of a degree verification. Evaluative information on a student’s performance (grades, GPAs, etc.) can be released to a third party only with written permission of the student. Requests for degree verifications should include as much information as possible known about the student: complete name - including former names, date of birth, graduation year, degree received, etc. Requests for verification of degrees should be directed to the Registrar’s Office by mail, phone (216.421.7321), fax (216.754.3385), email (registrar@cia.edu) or in person. There is no charge for verification of degrees.

    Diploma Reprints

    Requests for diploma reprints should be directed to the Registrar’s Office. Diplomas are printed only once a year in the spring semester. Graduates requesting diploma reprints must supply the Registrar’s Office with their diploma name, year of graduation, major, and mailing address. Diploma reprints carry a $50 fee. Diplomas will be mailed only after the $50 fee has been pre-paid in-full. Diploma requests can be made by mail, phone (216.421.7321), fax (216.754.3385), email (registrar@cia.edu), or in person.

    Veterans’ Benefits 

    CIA’s Bachelor of Fine Arts program is approved for VA educational benefits. VA certifications for benefits are processed through the Registrar’s Office. Students must be accepted and enrolled in the degree program before enrollment certifications are forwarded to the VA.  Students must be certified by the Registrar’s Office for VA benefits every year in which they are enrolled.
